• Integration credentials: GoHighLevel private integration token and location ID, which are stored encrypted and used solely to operate the AI reply service on your behalf.
• Billing information: PayPal subscription ID. We do not store credit card numbers or full payment details — these are handled directly by PayPal.
• Usage data: AI model used, token counts, request counts, and cost data for billing and usage tracking purposes.
• Message data: Inbound email and SMS message content, contact names, and email addresses are processed in real-time to generate AI responses. Message history may be stored to provide conversation context for the AI.

We also automatically collect certain technical information when you use the service, including IP address, browser type, and access timestamps for security and logging purposes.

3. How We Use Your Information

We use the information we collect to:

• Provide, operate, and maintain the AI email and SMS reply service.
• Process your subscription payments through PayPal.
• Generate AI responses using your configured agent settings and business rules.
• Track AI usage and calculate billing, including overage charges.
• Send service-related communications such as account activation, invoices, and usage alerts.
• Monitor for abuse, rate limiting, and security threats.
• Improve the platform based on usage patterns (aggregated and anonymised).

We do not sell, rent, or trade your personal information to third parties for marketing purposes.

4. How We Share Your Information

We may share your information with:

• Anthropic / OpenAI: Message content is sent to the AI provider you have selected (Claude by Anthropic, or GPT by OpenAI) to generate reply text. These providers have their own privacy policies governing data handling.
• GoHighLevel: Your GHL private token is used to read inbound messages and send outbound replies via the GHL API. We do not share your token with any other party.
• PayPal: Subscription and payment processing is handled by PayPal. We share your email address and subscription details as required to operate billing.
• Legal requirements: We may disclose information where required by law, regulation, court order, or to protect our rights and the safety of our users.

5. Data Retention

We retain your account data for as long as your account is active or as needed to provide services. Message history is retained to provide conversation context for the AI and may be deleted by you at any time from your dashboard. If you cancel your account, we will delete your personal data within 30 days, except where retention is required for legal or billing compliance purposes.

6. Data Security

We implement industry-standard security measures including encrypted storage of credentials, HTTPS for all data in transit, hashed passwords (bcrypt), and access controls to protect your information. However, no method of transmission over the internet is 100% secure, and we cannot guarantee absolute security.

Your GoHighLevel private integration token is stored in our database and used only to interact with the GHL API on your behalf. We recommend using a token with the minimum required scopes.

7. Third-Party AI Providers

Our service uses AI language models provided by Anthropic (Claude) and OpenAI (GPT). When you use the service, inbound message content is sent to these providers to generate a reply. Please review their respective privacy policies:

We use these providers' APIs in a manner that, to our knowledge, does not use your data to train their models, but we recommend reviewing their policies directly for the most current information.
